Missing receipts found and attached, without chasing people by hand

Every payment that has no receipt yet goes on one list. Every week your own team gets a reminder, and whoever has the receipt sends it in through a simple link.

Used byMonte RentalsNextPlay

  • More than 100 missing receipts attachedafter the weekly reminder, at two companies, in the first seven weeks
  • Nearly 100 receipts sent in by linkby the people who had them, with no login
  • You decidewho follows up, and when to give up on a receipt

The problem

Money leaves the bank on day one: a card payment at a shop, a transfer to a cleaner, a software renewal. The receipt is in someone's wallet, someone's inbox, or nowhere. Nobody knows who has it, so someone asks in a group chat and asks again next week. A spreadsheet of missing receipts is out of date the day after it is made. In Portugal a payment with no receipt cannot be deducted and is taxed extra, and most teams only find out at year end.

How it works

Payment with no receipton the waiting listMonday reminder to your teamreceipt sent by linkyou approve

  1. You

mark a payment as "waiting for a receipt"; it joins the waiting list.

  2. You

give each payment a person responsible and a short note of what was asked.

  3. Cifrova, every Monday

looks for payments over a week old with no receipt and lists them for you to check.

  4. Cifrova, every Monday

emails your own team the open list, what is new and what was solved since last week.

  5. The person with the receipt

opens a link, picks the payment, uploads a photo or PDF. No login.

  6. You

check it and click Approve; Cifrova attaches it to that exact payment.

Proof from real use

At a rentals company and a sports travel company, in the first seven weeks of the weekly reminder:

  • More than 100 payments got their receipt after they appeared in a reminder.
  • At the rentals company, half of those receipts arrived within about two weeks.
  • At the rentals company, 97 receipts came in through the link, and almost all landed on the exact payment they were for. Half were approved in less than a day.

What you still decide

You choose which payments are waiting, who is responsible, and you approve every receipt before it goes into the books. If a receipt will never come, a person decides to give up on it, knowing the tax cost, and can undo that later.
