Cifrova Business
Questions
Short answers to what people ask before we meet.
The fit
Who is Cifrova for?
Founders of growing companies who still carry the finance, and the financial controllers who run it for them. Both want figures they can trust every month and a plan for the cash.
Who is it not for?
If you only need your taxes filed at the lowest price, a good accountant alone is the right answer.
Is it software or a service?
You can use the platform with your own team. A financial assistant and controller support are optional paid services. We configure the platform with you whichever option you choose.
Where can I use Cifrova?
Cifrova can be used by companies in any country. We have specific adaptations for Portugal and Spain: SAF-T (PT) and the Portuguese chart of accounts, and a Spanish-language interface. During setup we confirm the banks, invoicing tools and exports available for your company with your accountant. Local tax requirements are handled with the appropriate local software and professionals.
Does Cifrova replace our invoicing software?
You keep the invoicing software that meets the requirements in your country, including certification where required. Cifrova works with its documents through the integrations or imports agreed during setup. In Portugal, we work with certified invoicing providers. Cifrova does not currently have a VERI*FACTU integration for Spain.
Your accountant
Do we keep our accountant?
Yes, unless you keep the books yourself, which depends on each country's rules and legislation. Your accountant keeps the books to the law and files the taxes; we do the daily work around them: documents, bank, close and reports. No accountant yet? We can provide one: we partner with local accountants.
What does the accountant get?
Their own login to your books, with every document attached. At month end, a close package: the ledger, the trial balance, the checks and, for Portuguese books, the SAF-T (PT) file. There is no extra cost for it.
Who has the final review?
Your accountant. They can question an entry or propose a dated adjustment, and the history stays visible.
The people
Who are the people?
A financial assistant, who does the daily work, and a controller, who runs the close and reviews the company with you. Both answer you directly.
Do we need them?
No. Both are add-ons. You can start with the platform and your own team, and add an assistant or controller hours later.
Pricing & terms
What do we pay for?
A fee per company that includes the first bank lines and documents of the month. Above that, a price per bank line and per document, which falls as the volume grows. Add-ons are on the same invoice.
How is it metered?
Bank lines and documents count in the month they enter Cifrova, whatever their own date, so nothing imported late slips past a month already billed. History dated before your start date is part of the setup and is never billed. Documents Cifrova creates itself (owner settlements, the opening migration) are not counted. Users, assistants and reports are never counted.
When are we invoiced?
On the 1st of each month, for the month just closed. The invoice shows both meters.
Is there a minimum term?
The first term is 12 months. After that it runs month by month, and you can stop at the end of any month. We hand back the ledger, the documents and, for Portuguese books, the SAF-T (PT) file.
Is there a trial or a card payment?
No. Cifrova starts with a meeting and a setup we do together. There is no trial account and no checkout.
Is there a setup fee?
Yes. Setup is real work: we connect your banks, sit down with you, your accountant or both to migrate the data, and shape the system to how you want to see your finances organised. Every configuration is unique, so the fee is set per company, from 750 €, once, on the first month. On a 24-month term it is waived; if the agreement ends before that term, only the setup fee becomes due.
What if a month is unusually large?
The extra lines fall into a cheaper tier. There is no cap and no penalty.
Setup & moving your books
How long does setup take?
Two to four weeks, depending on your banks and how many companies you bring.
What do we agree at the start?
Your banks, where documents come from, your invoicing tool, the reports you need and who does what. Then which records we bring across and the opening date.
What if our bank is not connected?
A statement import (CSV, or PDF for some banks) feeds the same matching.
How do we check the move?
We compare the imported records with the source, note any differences and review the first close together.
Your data
Where is our data?
Hosted in the EU, on European servers.
Who can see what?
Access follows each person's role in your company. Every action is logged in that person's name.
Can you move our money?
Bank feeds are read-only, through a licensed open banking provider, and you can cut them at any time. If you turn on payment drafts, each one waits for your approval in your bank.
Who else handles our data?
Only the providers on our list, each under a data processing agreement. We do not sell data. Service providers
How do we report a security concern?
Email security@cifrova.com with the page and a short description. Please do not send passwords, keys or full financial records. security@cifrova.com
